This is a great opportunity for a Project Executive (PE) to grow with us at this very exciting and busy time.

Touch Medical Communications (TMC) is a fast-paced and fun working environment, so adaptability and both a proactive and reactive nature is a must. Communication skills are also paramount due to the nature of the role, and we are looking for someone who is the perfect fit for our small team. The PE role will be responsible for ensuring clear communication across the team, as they will work across multiple projects.

KEY RESPONSIBILITIES

  • To play a supportive role in ensuring the delivery of high-quality activity deliverables that make a difference to patients by educating healthcare professionals (HCPs)
  • To support and lead (where applicable) on daily project tasks
  • Be aware of the time constraints and be proactive in managing these on a daily basis
  • Work with the project management team in a compliant and diligent manner

Project Management 

  • Support the project management team with efficient management and delivery of projects from conception through to completion
  • Assist with budget management across all assigned projects, communicating any changes or concerns in a timely manner
  • Assist with various administrative tasks across all projects
  • Liaise appropriately with all relevant departments, providing information that may assist them in their day-to-day work
  • Develop effective working relationships with key internal and external stakeholders to successfully deliver projects:
  • Help to coordinate relevant meetings and discussions, to ensure that Client business needs are optimally addressed
  • Show a keen understanding of Client communication objectives and what is required to achieve the desired outcome(s) for each assigned project
  • Recognise potential barriers to successful delivery, proactively identifying possible solutions
  • Liaise with expert faculty, including arranging contracts, logistics, briefing calls and virtual filming
  • Liaise with third-party vendors to help ensure projects operate on time and within budget
  • Take pride and responsibility for deliverables and Client/faculty communications
  • Develop expertise in industry-relevant information, including compliance regulations
  • Move towards taking full responsibility for end-to-end project management of selected projects, with support from the Head of Project Management and wider team

Event Management

  • Coordinate any live onsite events, in conjunction with the project lead (where appropriate)
  • Manage faculty travel and logistics, using Client’s preferred suppliers where necessary
  • Liaise appropriately with congress secretariats and film crews
  • Manage timelines and deadlines as necessary
  • Work closely with Marketing teams for live event collateral

New Business

  • Attend Client proposal meetings, as appropriate
  • Assist with the development of new business proposals, including helping to develop budgets
  • Promptly communicate any potential new business opportunities from current Clients to the Head of Project Management
  • Assist with the development of proposal presentations

Process & Standard Operating Procedures (SOPs)-

  • Be familiar with TMC processes and ensure all projects are managed as effectively as possible using standard TMC workflows
  • Become familiar with compliance requirements, including country-specific requirements, and ensure these are adhered to
  • Identify Client SOPs and assist Client with compliance where possible

PERSONAL SPECIFICATION

  • Educated to degree level or equivalent
  • Previous experience of working in a medical education/healthcare agency is preferred
  • Excellent project management and organisational skills, combined with a good understanding of the commercial drivers of the business
  • Intermediate/advanced skills in Microsoft Word, Excel and PowerPoint
  • Intermediate/advanced skills in the use of applications such as Zoom and Teams for video conferencing and remote filming
  • Some experience of working with the SalesForce / FinancialForce suite would be an advantage
  • Excellent interpersonal and communication skills
  • Very good English spelling and grammar
  • Excellent attention to detail
  • Focused and driven
  • Proactive and a self-starter
  • Ability to manage multiple tasks at once, in a high-pressure environment
  • Ability to work alone and as part of a remote team
  • Please note that international/UK-based travel may be required in this role
